Skoless is a school management system built for education institutions in Türkiye ("Skoless", "we"). This policy explains how the personal data of the institutions that use Skoless (each an "Institution") — and of the students, guardians and staff represented in the system through those institutions — is processed.

Skoless processes most data on behalf of, and on the instructions of, the institutions it serves. In that relationship the institution determines the data and the purpose of its use; Skoless hosts, processes and delivers that data on the institution's behalf.

Depending on the service, the following personal data may be processed:

• Identity and contact data: full name, national ID number, student number, phone number, e-mail address.
• Student and guardian data: class/section, guardian–student relationship, communication preferences.
• Academic data: attendance and absences, exam results, grades, learning-outcome analyses, guidance and meeting notes.
• Financial data: fee plans, installments, collections and payment history.
• Usage and technical data: sign-in records, audit logs (who did what and when), session and device information, IP address.

Skoless does not carry out profiling for advertising and does not sell personal data to third parties for marketing purposes.

Personal data is processed to run education and institution-management processes such as student enrollment, collections, assessment, attendance, scheduling, guidance and parent communication. The legal bases are the performance of a contract, compliance with legal obligations, legitimate interest and, where required, explicit consent — in line with Türkiye's Personal Data Protection Law No. 6698 (KVKK).

Skoless uses SMS, e-mail and WhatsApp so that institutions can send notifications to guardians and staff. Notifications such as absences, exam results, payment reminders and schedule changes are delivered over these channels according to the institution's settings.

Messages sent over WhatsApp use the WhatsApp Business Platform (Meta Platforms Ireland Ltd.). For this purpose, only the recipient's phone number and the message content required to deliver the message are transferred to Meta's systems. This transfer is made to inform the individual about their child's or the institution's processes and to enable communication. Meta processes this data under its own terms and privacy policy.

Guardians and staff can change their notification preferences through their institution and may contact the institution to stop receiving notifications on a given channel.

Personal data is shared only to the extent necessary to provide the service:

• With SMS carriers, e-mail delivery providers and the WhatsApp Business Platform (Meta) to deliver notifications.
• With hosting and infrastructure providers located in the European Union (under GDPR).
• With legally authorized public authorities, where required by law.

Student and guardian data is kept in a separate database allocated to each institution; the data of different institutions is never mixed, and one institution's data is not exposed to another.

Personal data is retained for as long as the processing purpose requires and for the period prescribed by applicable law. Once the period expires or the relationship with the institution ends, the data is deleted, destroyed or anonymized.

Technical and organizational measures protect the data: all connections are encrypted end to end (HTTPS/TLS), passwords are stored in a non-reversible form, access is restricted by role-based permissions, and every action is kept in a tamper-evident audit log. Suspicious sign-in attempts are blocked automatically.

Under KVKK Article 11 you have the right to learn whether your personal data is processed, to request information about it, to learn the purpose of processing, to request correction of incomplete or inaccurate data, to request its deletion or destruction where the conditions are met, and to claim compensation for damage arising from unlawful processing.
